How to Enroll at SMS 2024-2025

Welcome to St. Mary School!

PLEASE BE SURE TO READ THIS ENTIRE DOCUMENT IN ORDER TO SEE ALL ITEMS NEEDED FOR ENROLLMENT AS WELL AS ADDITIONAL INFORMATION REGARDING TUITION, KINDERGARTEN AND TRANSFER GRANTS AND TUITION ASSISTANCE.

Enrollment/registration is complete when we have received all required paperwork and documents ( with the exception of immunization records which can be sent in as you get them after well visits), registration fee has been sent in and you have signed up for your tuition payment plan through FACTS. 

Applications for admissions are being accepted for the 2024-2025 school year.

In an effort to continue with our enrollment process for the 2024-2025 school year, St. Mary School has implemented the following enrollment information and procedures to help families interested in
applying for enrollment at St. Mary School to complete this process as early and as easily as possible. St. Mary School is committed to providing excellent education, in a safe environment, which aligns with your family values and is grounded in the Catholic faith as we live our mission of Learning and Living in Christ.

All of our registration information packets are now available on-line below. They are grouped per grade level. (Kindergarten, Grades 1-7, 3 year old preschool and 4 year old preschool).  Under each group will be all of the forms needed for registration that you will need to return to us in addition to the required information listed below under each grade category ( ex: Birth certificate, baptismal, First Penance, First Communion, immunization records, report cards, standardized test scores etc. ).

We ask if you could please print out these forms, fill them out, and then send them to the St. Mary School Advancement Office via email. You can scan them or take a photo of them and send them back through email.  We ask that you please include all of the additional required paperwork as well. If you plan to attend one of our upcoming Open Houses, you may also bring the paperwork to the open house. If you are a current family registering a new student, you may also send it in with your child, attn: Advancement Office.

All forms and paperwork should be emailed to Jackie Kern at advancementoffice@smarys.org. 

In order to assure we receive all of your completed information, we ask if you could please send all of your forms and paperwork at the same time in the same email.

KINDERGARTEN GRANT:
St. Mary School offers a Kindergarten Grant for those registering for the 2024-2025 school year Kindergarten class. 

If you are a current 4 year old St. Mary School Preschool family, currently enrolled in our program for the 2023-2024 school year- we are offering $500.00 off of your 2024-2025 tuition total for your Kindergarten student 

For all others wishing to enroll in our 2024-2025 Kindergarten Class– we are offering $400.00 off of your 2024-2025 tuition total for your Kindergarten student. 

NOTE: In order to receive the amount listed above, families need to register for Kindergarten no later than JUNE 1, 2024.  After this date, the amount of the grant will decrease periodically, but will still be available but at a lower offered amount. Applications for Kindergarten enrollment will continue throughout the year. 

In addition to receiving the Kindergarten Grant, you may also still apply for FACTS Tuition Assistance–tuition assistance is based off of income and is reviewed by our principal and business manager. This is separate from the Kindergarten Grant but may accompany the grant. The kindergarten grant is based off of the tuition for the 2024-2025 school year, which will become available in the early part of 2024.

TRANSFER GRANT:  Transfer grants are offered to those students enrolling in grades 1-7 who are coming from public school, home school, charter school or out-of-Camden Diocese school. Only, if you qualify for this grant based on the school you are transferring from, Please fill out the form for the transfer grant located in the application paperwork and send it with the other required forms and paperwork.

Enrollment after September 15, 2024 will also adjust the total amount awarded for the Transfer Grant ( followed by the percent of tuition owed) for the remainder of the 2024-2025 school. This is a 2-year grant. You will find this form in the Grades 1-7 registration packet below. If you qualify for the transfer grant you cannot apply for Tuition Assistance until year 3 of enrollment at St. Mary School. The grant will be awarded based on the 2024-2025 and 2025-2026 tuition prices.

Tuition Refund Policy 2024-2025 The 2024-2025 Tuition Refund Policy is listed under Admissions. As part of the enrollment process each family is required to sign the form indicating you received this policy. In this case, the Tuition Refund Policy is available for you to read and review via our website and if you register in person you will also receive a hard copy of this policy. The Tuition Refund Policy may also be found in our school handbook. Please send back this signed form ONLY indicating that you received information that the policy is available to read and review and where it is found, as part of the registration packet.

FACTS Tuition Payment Plan: All families are to be placed into FACTS Tuition Management for tuition payments to be automatically withdrawn from your account beginning in July and going through April. In order to do this, you will need to join FACTs secured online site and include your banking information for the account you will be using. In order to do this, you will need to go to our website, www.smarys.org and under LINKS you will see FACTS Tuition. Open this link and it will show you how to create an account. If you are a a current family, and enrolling any additional students, we will add that student to your current account. If you are a current 4 year old St. Mary Peschool family, we will roll over your current FACTS account

FACTS Tuition Assistance 2024-2025 School Year: Tuition assistance is available for those who qualify and enrolling for the 2024-2025 school year and is available to those students entering grades Kindergarten-8th grade ONLY and who are NOT receiving the Transfer Grant. Tuition Assistance is NOT AVAILABLE for Preschool students.

You can apply for Tuition Assistance during year three (3) of enrollment at St. Mary School.

All applications must be completed electronically at https://online.factsmgt.com/signin/3KGBP  ( You will come to the home page and then be able to log on using your username and password for your FACTS account. If you do not yet have a FACTs account you will be asked to create one. You will then see a link that will take youto the tuition assistance application. or you can go to our website, www.smarys.org and under LINKS you will see FACTS Tuition Assistance where you can apply directly on line through FACTS. There is a $30 application fee which will need to paid online before submitting the application. The 2021 tax returns will be used for your application. All required documentation must be submitted for the application process to be processed. Only completed applications will be considered. It is the responsibility of the family to supply all necessary paperwork. 

Reminder: If you will be utilizing the Transfer Grant you cannot apply for Tuition Assistance until year 3 of enrollment at St. Mary School.  Those receiving the Kindergarten Grant may apply for tuition assistance.

Enrollment Application Forms: Please click on the grade you are interested in, print out the forms, fill them out, scan them and email them to Jackie Kern at advancementoffice@smarys.org along with the additional required items listed below. You can also drop them off during school hours ( 8:15 am-3:00 pm Monday-Friday):

In addition to the forms above, there is additional Information and Items Needed for Registration For incoming Preschool, Kindergarten AND those NEW students to SMS who will be entering 1st-7th grade.

Please see below the additional items needed to COMPLETE APPLICATIONS FOR ADMISSION:

KINDERGARTEN (Child must be five years of age on or before September 30th)
Registration Fee – $110.00 (Non-Refundable)
Birth Certificate –Copy
Baptismal Certificate –Copy (if applicable)
Latest Immunization Records ( we also require an updated immunization record if done after registration and prior to October 1st and after Kindergarten booster shots are given). Flu shots are recommended but are not required for Kindergarten students.  If your student receives a flu shot you do not need to submit a doctor’s note.

NOTE: Bus Transportation Form that is in the application packet above needs to be filled out by ALL FAMILIES regardless of whether you will be driving your child in and/or picking up or if you will not be receiving bussing.

In addition to the required forms and items needed for enrollment, your child will also need to have a Kindergarten screening. These Kindergarten screenings will be held in Februaryy/March. You will receive further information on the screening, including day and time. They are done during school hours and if you are in our SMS preschool the screenings will be done during the time your child is in preschool.

The $ 110.00 Registration fee may dropped off with your all of your registration paperwork or be mailed to St. Mary School at the following address:

If you have a student currently in SMS, you can send it in to school with your child Attn: Main Office. Please be sure to include your child’s name and grade for September 2024 and indicate it is the registration fee.

Copy of Latest Required Immunization Records – Students entering 6th Grade will need 1 Tdap or Adacel and 1 meningococcal Proof of these shots should be submitted no later than the first day of school. Flu shots are recommended but are not required for grades 1-8.  If your student receives a flu shot you do not need to submit a doctor’s note.

Copies of latest (and 1 year prior if applicable) Report Cards, Standardized Tests, and Child Study Team Reports ( if applicable). Our principal calls all principals for students tranferring to St. Mary School in grades 1st-7th grade.

We have resumed our requirement for a 2-day visit for incoming 1st-7th grade students. We will give you the dates of your visit when you register or soon after.  Registration is also dependent upon the availability of space.

3 and 4 Year old Preschool
4 year olds must be 4 on or before September 30th.
3 year olds must be 3 on or before September 30th.

Copy of Latest Required Immunization Records:  Preschool students are required to have a flu shot yearly prior to Christmas break.

NOTE: All preschool students need to FULLY POTTY TRAINED for admission.

There is no bussing for preschool students.

FACTS TUITION PAYMENT PLAN:

ALL STUDENTS IN GRADES PRESCHOOL-8TH GRADE

ALL NEW ADMISSIONS WILL BE REQUIRED TO FILL OUT A FACTS TUITION PAYMENT AGREEMENT. TUITION IS DIVIDED OVER 10 MONTHS AND IS AUTOMATICALLY DEDUCTED FROM AN ACCOUNT OF YOUR CHOICE (SAVINGS OR CHECKING) ON EITHER THE 5th or 17th OF THE MONTH.

Tuition rates for the 2024-2025 are not yet available. When they become available ( usually around February/March) they will be posted on our website. Please continue to check in order our website. 

Note: For K-8 and Pre-School, registration fee and other fees are due regardless of date of enrollment.

Tuition Rates are determined by the Finance Committee based on information provided by the Diocesan Office.

There is a Catholic and Non-Catholic tuition rate for students entering grades Kindergarten-8th grade. The definition of each category is:

Catholic: Parent/Guardian must be registered in a Catholic parish (it does NOT have to be Our Lady of Peace Parish) and the child must have a valid Baptismal certificate. There is also a second, third and each additional child discount.

Non-Catholic: Religion other than Catholic. Greek Orthodox will be considered Non-Catholic. All Non-Catholic children must still participate in Religion classes and participate in Liturgical events. All Non-Catholic students participate in sacramental classes but are not eligible to make the sacraments. There iS NO sibling discount for the Non-Catholic rate.

Catholic and Non-Catholic rates DO NOT apply to 3 & 4 year old Preschool Tuition
